How it works
From registration to your first Sunday
- Register your church. Church details and the first administrator. No payment method.
- Set up your departments and users. Branches, ministries and staff, each with their own permissions.
- Import members or add them manually. Upload your Excel list saved as CSV, or type them in.
- Begin managing church activities. Attendance, visitors, cell groups, events and finances.
- Purchase SMS credits only when you need to send messages. Everything else works with an empty wallet.
Privacy and trust
Your church's records stay your church's
Each church's records are kept separate and are visible only to the people your church gives access to. Staff see only what their role allows: a cell leader sees their own group, a treasurer sees finances, and pastoral notes stay with the pastors assigned to them.
We do not sell church data or use it for advertising, and Church CRM staff do not browse your member records. You can export your records at any time. Read the privacy policy and data protection information.

Your voluntary contribution helps us maintain, improve, and provide free church management tools to more congregations. It pays for hosting, maintenance and continued development.
Donations are optional and do not unlock features. A church that never donates has exactly the same Church CRM as one that does.

Frequently asked
- Is Church CRM really free?
- Yes. Every core module is free to use, for every church, with no subscription and no paid tiers. Kitimba Technologies earns from SMS messages you choose to send, from voluntary donations, and from optional services such as data migration and training.
- Are there limits on the number of members?
- No. There is no member limit and no charge per member. Lists are paginated so the system stays fast on ordinary phones and connections as your church grows.
- Do I have to purchase SMS credits?
- No. SMS credit is needed only to send text messages. A church with an empty SMS wallet keeps full access to members, attendance, finances, reports, pastoral care and everything else. SMS currently costs UGX 35 per SMS part, shown before every send.
- Can multiple church branches use the system?
- Yes. One church account can have many branches. Staff can be limited to their own branch, members can be transferred between branches without being counted twice, and reports can be viewed per branch or combined.
- Can we import members from Excel?
- Yes. Save your spreadsheet as CSV, upload it, match its columns to Church CRM fields, preview the rows, and review any errors or likely duplicates before anything is saved.
- Can different staff members have different permissions?
- Yes. Ready-made roles cover administrators, pastors, secretaries, treasurers, ministry and cell leaders, ushers, communications officers and auditors, and you can create your own roles from individual permissions.
- Can we record offerings and expenses?
- Yes. Record tithes, offerings and other income, link giving to members where you choose to, request and approve expenses, set budgets and track pledges. Corrections are recorded as reversals, so the history is never silently changed.
- How is church data protected?
- Each church's records are separated from every other church's, checked on the server for every request. Passwords are hashed, connections use HTTPS, sensitive actions are logged, and pastoral notes and individual giving are restricted to the roles that need them.
- Can we stop using the platform and export our records?
- Yes. Authorised staff can export members, visitors, attendance, finances and other records to CSV at any time, and you can ask us to close your account.
- Can we donate to support the platform?
- Yes, through Mobile Money on the donation page. Donations are voluntary and never unlock features.
